Service book of state government employees will now be online making the hard copies of service books a thing of the past.
The state finance department has instructed departments concerned to start preparing these e-service books. In the first phase, all employees’ service books need to be updated by April 15. However, even after uploading the service books online, the hard copies would be needed to preserve until the retirement of employees concerned.
All the important details of government employees are recorded in their service books. From the date of joining, date and post they had been promoted to, number of leaves availed and remaining along with post-retirement benefits due to the employees are all recorded in their service files. These books are important in case of promotion of employees.
Employees service books are maintained in the shape of files at government offices with designated officials to maintain those. In spite of this, there are cases when the service books are torn or lost leading to a lot of trouble for employees. In case of soft copies, there will be no such trouble and they can be kept password protected and can be opened whenever and from anywhere.
The finance department has introduced a new Human Resource Management System (HRMS) portal which will now develop these e-service books.
As a result, government employees can apply for leaves, get payslips, provident fund details through this portal. Now the big task of including several lakh government employees online has to be completed. Officials admitted that it will be an onerous and time-consuming job with practically no margin for error.
It will be a clerical job but will have to be done with a lot of concentration. Other than the April 15 deadline to update employee details, the finance department has not set any other deadline for the project.
Since the Lok Sabha elections are underway, a number of government employees have been engaged in various election duties and thus it could be difficult to meet the deadline which has been set. Considering that, the department is likely to extend the deadline.
